What makes a dropshipping application fail.

Most declines in this category are not caused by the business model. They are caused by a file that arrives incomplete, a storefront missing the pages the schemes require, or a chargeback history submitted without the remediation that followed it. Here is the sequence, the document list and the specific failure modes we see weekly.

The sequence

Statements on Monday, MID by Friday

Timings are medians on complete files. An incomplete file does not fail — it waits, which is why the document checklist below is the whole game.

  1. Day 0 · 15 minutesSubmit the file

Six documents, a storefront URL and, if you have one, the decline or termination notice you were sent. The reason code on that notice tells us within minutes which of our 38 banks are worth approaching and which will never read it. There is no application fee and no credit pull at this stage.

    15 minutes
    • Cost None
    • Credit pull No
  2. Days 1–2 · Desk reviewUnderwrite

KYB on the entity, KYC and identity verification on every beneficial owner at 25% or more, OFAC and global sanctions screening, MATCH inquiry, a site review against the card-network CNP requirements, and a read of ratio history and supplier lead times. You receive a written decision naming the sponsoring bank, the rate structure, the reserve terms and the settlement schedule.

    24–48 hours
    • Screening KYB, KYC, OFAC, MATCH
    • Output Written decision
  3. Days 3–7 · BoardingBoard the MID

The sponsoring bank issues the MID. We set your descriptor and test-charge it so you see exactly what a cardholder sees, deliver gateway keys, configure 3-D Secure 2 step-up rules, connect Ethoca and Verifi, and run test authorisations end to end before a single live sale touches the account.

    2–5 business days
    • Descriptor Test-charged
    • Vault Portable from day one
  4. Ongoing · WeeklyMonitor and defend

Weekly ratio reporting against the live VAMP and ECM thresholds, alert-to-refund automation inside the 24-hour window, representment packages assembled from stored delivery evidence, and a reserve step-down review at month six. Your analyst calls the week a metric moves, not the month after the bank writes to you.

The KYB pack

Six documents. Nothing else at this stage.

Assemble these before you contact anyone in this industry — they are the same six every legitimate ISO will ask for, and having them ready cuts days off any decision.

📄

1. Three months of processing statements

From every processor you have used in the period, including the one that closed you. Gaps are noticed. If you have never processed, say so — a no-history file is underwritten differently, not rejected.

🏦

2. Three months of business bank statements

For the account that will receive settlement. The account name must match the legal entity on the application; a mismatch is the single most common cause of a boarded MID failing at first settlement.

🏛️

3. Incorporation and ownership structure

Certificate of incorporation or formation, the operating agreement or articles, and a clear ownership chart down to every natural person holding 25% or more.

🪪

4. Beneficial owner ID and address proof

Government photo ID plus a utility bill or bank statement under 90 days old for each owner at 25% or more, and for any director or officer with signing authority.

🛒

5. A live, compliant storefront

Reachable URL with published refund and cancellation policy, shipping and delivery timeframes, terms of service, privacy policy, a physical business address and a working support contact. These are card-network CNP requirements, not our preferences.

🤝

6. Supplier or fulfilment agreements

Your agreement with the supplier, 3PL or print partner, plus typical dispatch and delivery windows. This is what converts "dropshipping" from an underwriting objection into a documented fulfilment chain.

Your sponsoring bank is named in your merchant agreement before you sign, together with the discount rate, the reserve terms and the settlement schedule. Card-network marks indicate accepted payment types and do not imply endorsement or sponsorship. Meridian Rails Payments, LLC is a registered ISO/MSP of Harbor Point Bank, N.A., Wilmington, Delaware.

Hard cases

Files that need an explanation, not a form

Every answer below is one an underwriter would put in writing. Where the answer is no, it says no.

Registered ISO/MSP disclosure

Meridian Rails Payments, LLC is a registered ISO/MSP of Harbor Point Bank, N.A., Wilmington, Delaware. Merchant accounts are issued by the sponsoring bank, not by Meridian Rails. We are not a bank and we do not hold merchant funds; settlement is made by the sponsor bank directly to the account named on your application.

Approvals, discount rates, reserve terms and settlement schedules are set at underwriting and disclosed in full in the merchant agreement before you sign. No rate quoted in conversation is binding until it appears in that agreement.

Card-network marks shown on this site indicate the payment types accepted through our gateway. They do not imply endorsement or sponsorship by Visa, Mastercard, American Express or Discover.

No approval is guaranteed. Every application is subject to underwriting, KYB/KYC verification and OFAC sanctions screening, and may be declined without a stated reason.

Scheme thresholds

Visa VAMP sets the merchant excessive ratio at 1.50% effective 1 April 2026, combining TC40 fraud with TC15 non-fraud disputes and removing the early-warning tier. Mastercard ECM remains 1.50% with 100 or more disputes in a month. Thresholds are set by the card networks and are subject to change.

How we hold the line
